Can you set reminders?
Yes! You can set one-time or repeat reminders with a link back to the page to complete.  You can also link reminders to a custom form to be completed at specified times.

What is a workspace page?
 A workspace page is like a a very smart manilla folder or private webpage that holds every detail, file, link, form, task and event. Workspaces are categorized and organized on the home page dashboard, left navigation, advanced search and detailed reports. Various types of workspaces can be tracked on this customizable platform.

What goes on each workspace page?

• Messages: Internal notes/conversations 

• File attachments: PDFs, Word docs (indexed for searchability), photos, streaming videos, presentations and more

• Todos: Tasks/reminders, events/appointments

• Search labels: Organize, search and report on workspaces, and create a pipeline or workflow

• Topics: To tag posts on a page  for searching and reporting

• Custom fields: Data points connected to the contact such as account number, etc.

• Forms: A customized form to capture repeat data such as an internal survey or request

 

Can you selectivly give workspace access?
Yes, you decide who sees what. Each workspace page can be made private, and shows which individuals (or teams of people) can read/write or just read. Access can be changed one at a time, or in Advanced Search, you can batch add and remove access. Note: the Admin has full access to everything.
Can you import data from an Excel sheet?
Yes, instead of typing you can import! Each row becomes a workspace page and columns can be mapped so data appears correctly.  FMYI can assist with data mapping and if you import the same types of data frequently, saved mapping makes the process super fast. Use a .csv or .xls spreadsheet with a header row.  
How do you choose which version fits best.
Starter is best for only a few workspaces.
Standard is if you need many workspaces and want to be organized, as workspaces are tagged with "Search labels" to group them for detailed reports and Advanced Search (which finds tagged data and makes batch updates.) 
Premium is if you have over 25 users.
Stay organized across multiple locations.
 

Internal communication (send alerts)

FMYI ensures your team is up-to-date with a perfect amount of email. It's "access without excess" so people find what they need without inbox clutter.  Without technical knowledge, anyone allowed can share, alerting select people:

  • Messages with a subject and note (like an email) that remains findable
  • Files of all types, including streaming video, and with a description (so unlike a shared drive, people know exactly what's in the file.)
  • Events and appointments that push to both your personal calendar and an FMYI calendar (you can even subscribe to it on your iPhone or iPad)
  • Tasks with priority ensure accountability and include email reminders
  • Forms to capture and organize specific repeatable data with reports

Share what's important (powerful search tools)

  • Keep everything instantly searchable (including the text of Word and PDFs) at the fingertips of your team members.  
  • Privacy settings ensure you decide who sees what content.  
  • When you post something, you have the option to simultaneously alert the right people with the new information. 
  • If you're using the site to track projects or anything else, you have the option to feature a dynamic dashboard of progress.
  • Your one-stop-shop to internal and external resources.

Adjust the status (search labels)

The status of each project workspace is easy to adjust and the system documents who changed what, when. On the homepage, a high level dashbaord shows how many projects are in each status or have tags. Click the link to see a list. Users see only what they can access.

Site analytics to support system adoption

FMYI's usage report shows who is logging in and adding content. These stats show adoption, and to improve it, align your site with core responsibilities for each user. For example, FMYI is the only way to post a project issue or find critical documents. 

Importing a spreadsheet (save typing)

Adding to your FMYI site can be done manually, or for large amounts of data, via an import.  Using the tools in FMYI you can import any spreadsheet or .csv file. Each row becomes its own project workspace. Each column is a datafield that can be used many ways: a text custom field, a search label tag, to give access and more.  

Advanced search creates a powerful database

Your files, notes, tasks and more are all grouped together in relevant workspaces (e.g. projects, contacts), and these workspaces are very organized. Using the FMYI advanced search, you can search a large database, and find projects that have been untouched or contacts in a certain city. Then you can generate an Excel report, make batch updates to give access or update tags, or browse the workspace one at at time, by clicking a previous or next button. This ensures your opportunities don't slip through the cracks, and making bulk updates is done as efficiently as possible.

Social sign in (remember less passwords)

You can sign up or sign in with our social sign in option that works with many popular services.  Don't worry, the system does not post your content to a social network.
